Every inbound ingredient lot arrives with paperwork: a certificate of analysis, a packing slip, sometimes a kosher or allergen letter. In most plants that paperwork takes two paths at once, the paper is filed in a cabinet by month, and a person retypes the lot number and maybe a few values into the ERP and a spreadsheet. Then, months later, a spec question sends someone to the cabinet to find the certificate the plant already owned in digital form the day it arrived.

What document AI changes at receiving

The COA (PDF, photo, or paper scan) is read on arrival: supplier, material, lot number, test results extracted and structured. Three things happen instantly that never happened before. The results are checked against your specs, a protein value out of range or a missing micro result is flagged at the dock, while rejection is still an option. The lot record links the certificate, so anyone tracing the lot later sees the COA attached. And the retyping simply ends, along with its transposition errors.

The genealogy connection

Supplier lot tracking is the upstream half of lot genealogy: the inbound lot node with its evidence attached (the downstream mechanics are in the genealogy guide). When a supplier later reports a problem lot, the one-up walk answers which batches and customers it touched, with the COA and receiving record as evidence. When a customer question comes back the other way, the certificate is one query deep. For plants preparing for FSMA 204, this receiving capture is the first required link.

Supplier quality history, built as a by-product

Once certificates are data, supplier scorecards stop being an annual argument: every lot's results, every deviation, every rejection accumulates per supplier automatically. The purchasing conversation changes from anecdotes ('their last few lots seemed off') to evidence ('four of the last twelve lots ran below spec on moisture, here they are'). Ingredient-heavy operations like bakery ingredient distributors run their technical Q&A off the same layer, spec questions answered from the certificate archive in seconds.

The backlog in the cabinets

The same document AI reads history: years of filed COAs become a searchable archive in days. That backfill is often the fastest win in the whole program, the filing cabinet was a database waiting for an index.
