Shift handoff is the most repeated meeting in manufacturing and the least recorded. The outgoing crew knows things, which machine is running weird, which order is at risk, what maintenance promised, and most plants transfer that knowledge through a rushed conversation and a whiteboard that gets erased. The photo someone takes of the whiteboard is an admission that the knowledge matters, and a guarantee nobody can search it.

Why handoff templates usually die

Plants that try to fix handoffs usually over-build the form: twenty fields, required essays, sign-offs on sign-offs. Night shift fills it honestly for a week, then the entries decay into 'all good.' The template died because it cost more than it gave. The survivors are ruthless about time-to-complete: under three minutes or it will not last a month.

The five-field template that sticks

Free text only inside items, never as the structure. Most of the record assembles itself when the handoff lives on the same layer as live machine data: line state and open downtime events pre-fill, and the supervisor confirms instead of transcribing.

The payoff is the archive

The nightly value is a cleaner handoff. The compounding value arrives around month three: the handoff archive becomes plant memory. 'How often has line 2 started Monday down?' and 'when did we first see this leak?' become queries. Recurring problems stop being folklore, they have dates, frequencies, and patterns, which is exactly the raw material ML clusters into causes.

Rolling it out

Digitize handoffs after station capture exists, not before, so line state pre-fills from real data (the sequencing logic is in our 90-day paperless plan). Pilot on one crew pair, tune the picklists to their vocabulary, and hold the three-minute line ruthlessly.
